Workforce Command Privacy Policy

1. Introduction

This Privacy Policy explains how Workforce Command collects, uses, stores, shares, and protects information when users access our website, web application, desktop application, notifications, reports, billing features, and related services.

2. Information We Collect

We may collect account information such as name, email address, organization name, role, login details, billing status, plan details, and user permissions.

We may also collect workforce activity data depending on organization settings, including work time, screenshots, activity levels, apps used, URLs visited, IP address, device information, task/project activity, notes attached to screenshots, manual time entries, leave requests, timesheets, approvals, and reports.

3. Desktop App Data

The desktop app may collect tracking data only while time tracking is active or as configured by the organization. Depending on settings, this may include screenshots, app usage, website URLs, keyboard/mouse activity levels, IP address, device details, project/task selection, timer status, and user notes.

4. How We Use Information

We use information to provide time tracking, workforce monitoring, project reporting, attendance tracking, task visibility, productivity insights, billing, invoices, notifications, support, security, audit logs, and platform improvements.

5. Organization Access to Data

Organization Owners, Managers, Project Leads, HR users, Clients, and other authorized roles may access user data based on permissions, project assignment, team assignment, organization settings, and plan access. Employees can access their own data where permitted.

6. Legal Basis and Responsibility

Organizations are responsible for ensuring they have the correct legal basis, notice, consent, employment policy, or contractual permission to monitor users. Workforce Command provides the tools but does not replace the organization’s legal responsibilities.

7. Data Sharing

We may share information with service providers that help operate Workforce Command, including hosting, storage, email, analytics, error logging, payment processing, customer support, and security providers. We do not sell user personal data.

8. Billing Information

Payment details may be processed by a third-party payment processor such as Stripe. Workforce Command should not directly store full card numbers unless explicitly implemented through a compliant payment provider.

9. Data Retention

We retain data according to the organization’s plan, Super Admin retention settings, legal requirements, billing requirements, and operational needs. Screenshots, activity data, reports, logs, and other records may have different retention periods. Data older than the configured retention period may be deleted automatically.

10. Security

We use technical and organizational measures designed to protect information, including authentication, role-based permissions, access controls, audit logs, secure storage, and encrypted communication where applicable.

11. User Choices and Rights

Depending on applicable law, users may have rights to access, correct, delete, export, or object to certain processing of their personal information. Some requests may need to be handled by the user’s organization if the organization controls the data.

12. Cookies and Tracking Technologies

The website and web application may use cookies or similar technologies for login sessions, security, preferences, analytics, and product improvements.

13. International Data Transfers

Data may be processed or stored in countries where Workforce Command or its service providers operate. Organizations are responsible for ensuring their use of the service complies with applicable data transfer rules.

Workforce Command is not intended for children. Users must be legally permitted to use the platform under applicable law and organization policy.

15. Changes to This Policy

Super Admin may update this Privacy Policy from time to time. If a change requires acknowledgement, users may be asked to review and accept or acknowledge the updated policy before continuing.
